Mathewsons Live Filming & Photography Privacy Notice

This notice explains how Mathewsons uses photographs, video footage and audio recordings captured at Mathewsons Live, taking place at the Great Yorkshire Showground, Harrogate, on 22nd and 23rd August 2026.

Photography, filming and audio recording will take place throughout the event.

Who is responsible for your information?

For the purposes of UK data protection law, the data controller is:

Important: before publishing this notice, confirm that “Mathewsons” above is the correct legal entity name acting as data controller. Your current website privacy policy uses Mathewsons and the same privacy contact email, but the controller should ideally be identified by its full legal name.

What information may we collect?

During Mathewsons Live, our photographers, videographers and production teams may capture:

  • photographs;
  • video footage;
  • audio recordings;
  • your image, likeness and voice;
  • your vehicle or display, which may include identifying details such as registration numbers; and
  • other information that you voluntarily provide if you are interviewed or speak to our team.

You may appear individually or as part of a wider crowd, audience, display area or event activity.

Why do we photograph and film the event?

We may use photographs, video and audio to:

  • document Mathewsons Live;
  • report on and showcase the event;
  • create social media content;
  • create videos for Mathewsons’ YouTube and other digital channels;
  • promote Mathewsons Live and future Mathewsons events;
  • promote the wider Mathewsons business;
  • produce advertising and promotional material;
  • produce printed materials;
  • provide material to media and publicity partners where appropriate; and
  • maintain a historical archive of Mathewsons events and activities.

Our lawful basis

Where identifiable people appear in general event photography, filming or audio recordings, we intend to rely on our legitimate interests under UK data protection law.

Our legitimate interests are in:

  • documenting Mathewsons Live;
  • communicating what takes place at the event;
  • promoting Mathewsons Live and future events;
  • promoting the Mathewsons brand and its activities; and
  • maintaining a record of significant Mathewsons events.

We consider general event photography and filming to be a reasonable and expected part of a large public event, provided appropriate safeguards are in place.

The ICO requires organisations relying on legitimate interests to identify the interest being pursued, show that the processing is necessary and balance it against the rights and freedoms of the people affected. We therefore take steps to minimise unnecessary intrusion and provide visitors with ways to raise concerns or object.

Children

Children may appear incidentally in wider photographs or footage of the event.

We recognise that children require additional protection under UK data protection law. Our photographers and production teams will therefore take particular care when capturing identifiable images of children.

Where we wish to deliberately photograph, film or interview a child as the main subject of promotional content, we may seek permission from their parent or guardian before doing so.

Parents and guardians who do not want a child in their care to appear in identifiable photography or filming should speak to a member of the event team or visit Event Control.

Your right to object

You have the right to object to our use of your personal information where we rely on legitimate interests.

If you do not wish to appear in identifiable photography or filming at Mathewsons Live, please tell a member of the event team or visit Event Control.

We will take reasonable and practicable steps to respect your wishes.

If you contact us after the event to object to the use of an image or recording in which you are identifiable, we will consider your request and, where appropriate and reasonably practicable, stop further use or remove the content from channels under our control.

Please be aware that we may not always be able to remove material that has:

  • already been printed;
  • already been distributed;
  • been independently shared or republished by others; or
  • been published by an independent third party outside Mathewsons’ control.

The ICO requires the right to object to be brought clearly and separately to people’s attention when legitimate interests is relied upon.

Who may we share photographs and footage with?

Photographs, video and audio may be shared with or made available to:

  • Mathewsons staff;
  • photographers, videographers, editors and production companies working on our behalf;
  • website and hosting providers;
  • social media and video platforms;
  • advertising platforms;
  • printing and design suppliers;
  • event partners where appropriate;
  • press and media organisations; and
  • other suppliers involved in producing or distributing Mathewsons promotional material.

Where suppliers process information solely on our instructions, we require them to handle it appropriately.

Independent media and broadcasters

There may also be broadcasters, journalists, photographers or other media organisations attending Mathewsons Live for their own purposes.

Where an organisation determines for itself what it records and how that material is used, it may be a separate data controller and its own privacy information will apply.

This Mathewsons notice does not govern the independent activities of third-party broadcasters or media organisations.

Social media and international transfers

We may publish photographs and video on platforms such as Facebook, Instagram, YouTube and other online services.

Some of these platforms and service providers may process personal information outside the United Kingdom.

Where Mathewsons is responsible for an international transfer of personal information, we will ensure that an appropriate lawful safeguard is used where required.

Once content is published on a third-party platform, that platform may also process information in accordance with its own terms and privacy policy.

How long will we keep photographs and footage?

We will not retain personal information for longer than is reasonably necessary for the purposes for which it was collected.

Raw photographs and footage may be retained while we:

  • review and edit event material;
  • create promotional content;
  • manage publication and future event promotion; and
  • deal with any queries relating to the material.

Selected photographs and footage may be retained for longer where they form part of Mathewsons’ promotional or historical archive and continue to have a legitimate business or historical purpose.

We will periodically review retained material and delete or cease using it where it is no longer reasonably required.

This uses retention criteria rather than an arbitrary fixed period, which the ICO permits where an exact retention period cannot sensibly be stated.

Do you have to provide this information?

No.

You are not under a statutory or contractual obligation to provide photographs, video or audio recordings to us.

However, because Mathewsons Live is a large event at which photography and filming are taking place, you may be incidentally captured when attending public areas of the event.

If you have concerns about this, please speak to the event team.

Automated decision-making

We do not use photographs, video or audio captured at Mathewsons Live for automated decision-making or profiling that produces legal or similarly significant effects.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • ask us for access to personal information we hold about you;
  • ask us to correct inaccurate personal information;
  • ask us to erase personal information;
  • ask us to restrict how we use personal information; and
  • object to our use of your personal information.

Not every right applies in every situation.

If you make a request relating to photography or video, please provide as much information as possible to help us locate the relevant material, such as:

  • the date;
  • approximate time;
  • location within the event;
  • what you were wearing;
  • which activity you were attending; and
  • a description or link to the photograph or video concerned.
